2. The Information Regulator's guide
The Information Regulator publishes a guide on how to use PAIA and POPIA, in every official language, at inforegulator.org.za. We will give you a copy on request.
3. Records available without a request
This manual, our privacy policy, and the information on this website.
4. Records kept under other laws
Where they apply to us, records under the Companies Act 71 of 2008, the Income Tax Act 58 of 1962, the Value-Added Tax Act 89 of 1991, the Tax Administration Act 28 of 2011, the Basic Conditions of Employment Act 75 of 1997, the Labour Relations Act 66 of 1995, the Electronic Communications and Transactions Act 25 of 2002, and the Protection of Personal Information Act 4 of 2013.
5. Records we hold
- Company: registration documents, agreements and statutory records.
- Financial: invoices, accounting records, tax and VAT returns.
- Clients: contact details, agreements, quotes, correspondence and service records.
- Clients' own information: held as an operator on their behalf. Requests for it go to the client concerned, as the responsible party.
- Suppliers: agreements, orders and contact details.
- Systems: security logs, backups and configuration records.
6. How to request a record
- Complete Form 2 of the PAIA Regulations, available from the Information Regulator's website or from us.
- Send it to our Information Officer at the details above, saying which record you want, in what form, and the right the record is needed to exercise or protect.
- The fees are those prescribed in the PAIA Regulations. We tell you what is due before we do the work. There is no request fee when you ask for your own personal information.
- We answer within 30 days, and may extend this once by up to 30 days, telling you why.
We may refuse a request only on the grounds in Part 3, Chapter 4 of PAIA, such as protecting someone else's privacy or confidential commercial information. If we refuse, we say why, and you may complain to the Information Regulator or apply to a court.
7. Personal information we process
The purposes, the people whose information we process, who receives it, transfers outside South Africa, and how we protect it are set out in our privacy policy.

This manual is on our website and available from us on request, free of charge.
